House Rules

While your are at Hubstairs CoWorks, by using or accessing our Office Space or the Premise, you agree to these house rules. Please read these rules carefully. We may revise these rules at any time. You are deemed to accept the current rules each time you use or access the Office Space or the Premise, and it is your responsibility to review it for any changes. If you do not accept these rules, you may not access or use the Office Space or the Premise.

a. Member Company acknowledges and agrees that

  • you shall first make the payment(s) to use the Office Space before occupying it;
  • you shall be responsible for completing all the getting started formalities before accessing the office space, in case of failure, we reserve the rights to terminate your access and services immediately without any notice;
  • you are liable to pay the Membership Fees even if the Office Space is kept vacant and no of your Members use it but it is occupied by you in any way wherein it cannot be given to any other Member Company;
  • we do not accept cash payments. You are informed not to pay cash to any of our staff or employee even if asked. We are not liable if the cash is handed to our staff/ employee/ anyone else and we fail to receive it.
  • tax invoice for GST return can only be issued in the month of the payment made. If you fail to collect tax invoice, the payment will be treated as counter sale and GST credit will be deposited to respect tax authority;
  • the Premises/Office Space/Service is for the sole use of the Member Company and its Members. In no case, the Premises/Office Space/Service can be shared or further rented with other companies or individuals;
  • Guests are only allowed in the Conference and Meeting Room by giving a prior notice to us. Guests are not permitted to use the Office Space/Service unless written prior permission has been obtained from us. Member Company is solely responsible for their Guests’ conduct and adherence to all the policies.
  • you cannot use the Premises or the Office Space in a “retail,” “medical,” or other capacity involving frequent visits by members of the public, as a residential or living space, or for any exclusively non-business purpose;
  • no alterations are permitted in the Premises and Office Space, which includes fixing stickers, banners or anywhere inside the cabin, on the tables, chairs, cabinets, walls, doors, and such;
  • Business Hours of the Office Space is between 9:30am to 6:30pm from Mon to Sat. A/C, Cafeteria, and Cleaning will be operated/available during the Business Hours only;
  • the Office Space can be accessed between 9am to 9pm from Mon to Sat. Usage beyond 9pm will attract additional INR 1000 plus taxes for upto 60 mins and billed in the next invoice;
  • extra chairs/seating space will not be provided more than the cabin capacity or the booked Service;
  • keys, key cards and other such items used to gain physical access to the Premises, Office Space or Parking Space remain our property. You will cause your Members to safeguard our property and you shall promptly notify us and be liable for replacement fees should any such property be lost, stolen or destroyed;
  • you will be responsible for replacement fees for any item(s) provided to you by us for temporary use should any such property be lost, stolen or destroyed;
  • we will provide notice to you via email or update on the website of any changes to Services, Fees, Terms, Policy, or other updates. It is your responsibility to read such updates/changes and to ensure your Members are aware of it, regardless of whether we notify such Members directly;
  • all of your Members are at least 18 years of age;
  • you shall be solely and fully responsible for ensuring that no alcohol or narcotic drugs and psychotropic substances are consumed and/or carried by your individual Members or guests who enter the Office Space and/or Main Premises;
  • common spaces are to be enjoyed by all our member companies, members and guests unless otherwise instructed by us, and are for temporary use and not as a place for continuous, everyday work;
  • you will not be storing any of your items in the common area temporarily or permanently;
  • you will not be hosting any event at the Premises without taking our prior written approval;
  • you will be responsible for any damage to our Office Space other than normal wear and tear;
  • we are not liable for any mail or packages received without our employee’s signature indicating acceptance;
  • we provide upto 80 mbps shared internet via WiFi only, access to and use of the shared internet connection should be in accordance with the Terms of Service available on our website at www.hubstairscoworks.com/legal/internet-access-tos (the “Data Connection & Internet Access ToS”)
  • for security reasons, we may, but have no obligation to, regularly record certain areas in the Premises and Office Space.

b. No Member will:

  • will access the Office Space and the Premise whose details are not present in the Member List Form or informed to us in writing in case of any changes;
  • perform any activity or cause or permit anything that is reasonably likely to be disruptive or dangerous to us or any other member companies, or our or their employees, guests or property, including without limitation the Office Space or the Premises;
  • use the Services, the Premises or the Office Space to conduct or pursue any illegal or offensive activities or comport themselves to the community in a similar manner; all Members shall act in a respectful manner towards other member companies and our and their employees and guests;
  • misrepresent himself or herself within the Premise/Office Space in any way. We reserve the right to take action and may terminate his/her access from the Premise/Office for such Member;
  • take, copy or use any information or intellectual property of other member companies or their Members or Guests, including without limitation any confidential or proprietary information, personal names, likenesses, voices, business names, trademarks, service marks, logos, trade dress, other identifiers or other intellectual property, or modified or altered versions of the same, and this provision will survive immediate termination of the Services without notice;
  • film within the Premises and Office Space, without completing all required paperwork and receiving written consent from us;
  • use our mail and deliveries services for fraudulent or unlawful purposes, and we shall not be liable for any such use;
  • store significant amounts of currency or other valuable goods or commodities in the Office Space that are not commonly kept in commercial offices; in the event that you do so, we will not be liable for any such loss;
  • make any copies of any keys, keycards or other means of entry to the Office Space or the Premises or lend, share or transfer any keys or keycards to any third party, unless authorized by us in advance;
  • allow any guest(s) to enter the Premises and the Office Space without registering such guest(s) and performing any additional required steps according to our policies;
  • operate any equipment within the Premises and the Office Space that has a higher heat output or higher electrical consumption than in a typical personal office environment, or places excessive strain on our electrical, IT, HVAC or structural systems, with such determination to be made in our sole discretion, without our prior approval;
  • bring any weapons of any kind, or any other offensive, dangerous, hazardous, inflammable or explosive materials in the Office Space or the Premises;
  • try operate or make changes to the Air Condition settings, we run the it at our defined standard temperature between 20 to 24 degrees Celsius;
  • smoke anywhere inside the Premises or the Office Space. Penalty of INR 1000 will be imposed on the Member Company if any of its Member found guilty;
  • eat, drink tea/coffee inside the Cabins or on the workstations in the open area. Penalty of INR 500 will be imposed on the Member Company if its Member found guilty.
  • the Members using the Office Space must keep it clean and tidy. Any damage caused to the Office Space or its contents will be the responsibility of the Members using it;
  • the Members using the cabin must keep noise levels to minimum and avoid disturbing others. Members should always keep their cabin’s door closed;
  • Meeting/Conference Room can be accessed only by making a prior booking using our online booking system at app.hubstairscoworks.com atleast 15 mins in prior to use. To avoid last minute hassle and have a better chance of availability we recommend booking atleast 24 hours in advance. You can block access in advance within next 15 days;
  • Printout: To get a printout, please reach out to supervisor/admin;
  • in case of issues or complaints follow the Complaints Matrix to reach us out;
