Book Conference Room
Effective from 15/01/2024:
We’ve simplified the conference room booking via our app, you can now check the availability of the conference room and book via your profile according to your needs.
Follow the below steps to book the conference room:
1) Click Here to open our web app on your browser
2) When logging in for the first time, choose Forgot Password option
3) Enter your username and reset the password (Need help with your username? Contact Us)
4) Temporary password is password
5) Once the password is reset successfully, login to your profile
6) From left menu option click on Tenant Services >> Meeting Room Booking
7) Select the default conference room and choose date to book and check the slots
8) Select the slots according to your need (Multiple slots can be book at a time)
We’ve limited slots per day to cater all the clients in the premise. In case you want to book more slots than assigned, you can do it by reaching out to us.
- Eligibility: Conference room bookings are available to all Hubstairs CoWorks members. External guests may also book conference rooms upon request and payment.
- Booking Process: Conference rooms can be reserved by contacting premises’ supervisor or ops manager, and we block it on FIRST-COME-FIRST-SERVE
- Limit: The Conference room can be booked for maximum of 4 hours in a day. In case of longer usage, kindly get in touch with the premises’ supervisor or ops manager.
- Cancellation: You can cancel your booking only before 90 mins of start time.
- Hogging: If you find someone else occupying the conference room in your booking time, kindly reach out to the premises’ supervisor or ops manager for assistance.
- Trespassing: Usage of the Conference Room without booking may result in temporary or permanent suspension of conference room booking privileges.
- External Guests: If you plan to bring external guests to a meeting in the conference room, you are responsible for their conduct and adherence to all the policies.
- Access: The conference room can be accessed from 9am to 9pm Mon to Sat, and 9am to 4pm on Sundays.
- Timeliness: Please arrive on time for your reservation. If you are more than 30 minutes late, your reservation may be forfeited, and the room may be allocated to another member or guest.
- Room Capacity: Maximum capacity of this conference room is 8 pax, overcrowding is not permitted for safety reasons.
- Setup/Arrangement: Do not move or rearrange furniture without permission. If you require a specific room setup, please notify the co-working space manager in advance.
- Cleanliness: Leave the conference room in the same condition as you found it. Dispose of any trash properly and ensure that whiteboards and screens are clean after use.
- Technology Usage: If you use any technology in the conference room, such as projectors or video conferencing equipment, make sure to turn it off after use.
- Noise Levels: Keep noise levels in the hallways and common areas outside of conference rooms to a minimum to ensure a productive environment for all members.
- Eatables & Smoking are NOT allowed inside the conference room.
- Security: The person/persons renting this conference room are responsible for the security of their belongings.
- Violations: Failure to adhere to this Conference Room Policy may result in temporary or permanent suspension of conference room booking privileges.
By booking and using our conference rooms, you acknowledge your understanding and acceptance of these guidelines.
